User Interface of the ESM
Efecte Service Management Tool’s User Interface primarily consists of three components:
- The Page Header at the top.
- The Navigation Panel on the left-hand side.
- The Working Area dedicated to displaying content in various formats.

All information is saved as data cards in the system. You can access any information through the Global Search or Views.
Page Header
The Page Header features frequently used actions:
- Clicking the logo opens the Start-Up View.
- Trigger the Global Search by entering a term in the search field.
- Click the button with the plus icon to open the 'New data card' dropdown, allowing you to select a template for the new data card.
- For data cards you create often, use the ‘Create New’ buttons. The icon within indicates the type of data card. Configure these buttons in the User Profile Settings.
- Open the user manual using the button on the header's right side.
- This link can be configured by the admin by using the platform setting:
user.manual.url- If the value is left empty, the default value is used.
- Default value is "https://docs.efecte.com/esm-user-manual".
- This link can be configured by the admin by using the platform setting:
- Click the circular button with the user’s abbreviated name to access User Profile Settings.

If users lack permission, they won't see options for the Administration area (cogwheel symbol) or the Background Data area (folder symbol).
Navigation of Views
Efecte displays data through preconfigured views, like List Views, Charts, Calendar Views, and Kanban Boards. Views are organized by roles, which are further categorized in tabs on the navigation panel. Tabs, found atop the navigation panel, include Roles, Personal views, Public views, Data Card Folders, and Archive (only available to root/admin users).
- Create new views using the 'New view' button and dashboards with the adjacent button.
- Find views quickly with the 'Find views' field. Filtering applies to the active tab.
- Expand or collapse roles to display views.
- Adjust the navigation panel's size or collapse it.
- Access the trash can at the panel's bottom.

Personal Views are private, while Public ones are organization-wide. Role-specific views are only visible to users assigned that role. Deleted data cards are stored in the Trash Can. Once emptied, data cards can't be recovered.
Note: Some features are unavailable on mobile due to limitations. For instance, 'New view', 'New dashboard', 'Trash can', and sharing of public views. Additionally, space constraints mean no display of Kanban boards or Dashboards on mobile.
Profile Settings
Customize your experience in profile settings, accessible via the profile icon in the top right corner:
- Layout settings: Switch to a compact layout or try the “New Default” design.
- Time zone: Adjust for multiple time zones.
- Create New -buttons: Configure the new data card creation process.
- Language: Change the UI language for multi-language environments. (Tip: Reload the web page to refresh browser cache.)
- Keyboard shortcuts: Change the keyboard shortcut modifier button.
- Startup view: Choose a default view or dashboard.
- Enable Virtual Coach: For AI-assisted data card operations.

Note: The "New Default" layout is still in development, with certain limitations. Optional settings depend on the Efecte configuration.
Profile in the New Agent UI
The look and feel profile settings have been renewed in the Agent UI. Please note that the setting for enabling Effie AI Ticket (earlier known as “Virtual coach”) is not yet available in the Agent UI.

Version Number
The version number of the ESM is shown on the Profile-menu.
In the Classic UI, it is located at the bottom, below the Save-button. Screenshot below shows the version 2025.1.2:

List Views
List views present template data in a table. Modify as needed:
- Add new columns from template fields.
- Sort data by clicking column headers.
- Adjust the results shown per page.
- Filter data with the list view filter.
- Multi-edit data cards with the 'Edit' button.
- Export data to Excel.
- Generate a graphical view by clicking the bar chart icon on column headers.


List Views in the New Agent UI
In the Agent UI, the list view has been renewed:
- The graphical layout has been updated.
- New-button has been relocated.
- The page selection has been relocated (at the bottom)
- The data cards can be directly managed, by the buttons under the Manage-column.
- There is a new context menu (right-click on any row in the list).
- The columns widths are adjustable.
- The adding, removing and arranging columns can be done in an overlay.
- Rearranging can also be done in the list view, by drag & drop.
- Removing columns can be done by clicking the X “Remove column” button.
- View saving is possible.
- Save current view with Save-button
- Save it as a new view with “Save as”, which can be found in the dropdown menu next to to the Save-button.
- View settings can be modified with the “View Settings” button.
Please note that the list view in the Agent UI does not yet include all features present in the current UI.
HTML Formatting in List View
In the Agent UI, certain fields displayed in the list view can render HTML-formatted content. This allows formatting elements such as links and basic text styling to appear directly in the list view.
For example, supported formatting may include:
- Hyperlinks
- Basic text formatting
- Supported HTML elements configured in the system
Links displayed in list view are clickable and always open in a new browser tab.
For security reasons, only approved HTML elements and attributes are rendered. Unsupported or restricted content is automatically sanitized and will not be displayed. Script execution and external styling are not allowed.
Reference tables displayed in list views support the same HTML formatting capabilities.
View Settings in the New Agent UI
To open up the View Settings, click on the “View Settings” button on the view

It contains two tabs: “Conditions” and “Settings”.
Conditions-tab
The Conditions-tab displays the current search conditions if they have the user rights to the attributes and their values:

Same capabilities for editing conditions are supported both in the the Classic and New Agent UI.
These capabilities include:
- Splitting, adding & removing conditions.
- Changing the conjunction (and / or) for the condition group.
- Attribute to attribute comparisons.
- Both Email (EntityStateMail handler), and comments (Worklog and Comment handler) can be used in the condition editor.
- Selecting attributes for left side operand both in the current template(s) and via a reference path.
- Comparing referrer count to absolute values.
- Comparing referrer count to attribute values.
- Changing operator.
- Right operand editing only for the string, number, and decimal datatypes.
- Only attributes that have supported right operands are selectable, but all existing conditions are displayed.
Settings-tab
The Settings-tab has the following options:

Visibility: Is the current search includes visible, hidden or all results (Visible, Hidden, All).
- Note that All-option might cause system slow down, as it can be very performance intensive search.

Refresh interval: Sets the refresh interval for the view.
- No refresh - No automatic refresh.
- 1/5/15/60 minutes - View is automatically refreshed after the set time.
- This applies to both unsaved and saved views.

Template: Templates selected for the search. At least one template must be selected.
- Clicking the field opens to dropdown menu to select more templates.
- Single templates can be removed by clicking the X-button next to template name. Clicking the big X-button on the field removes all templates from the field.

Folder: Folder selected for the search. Available folder are the ones allowed for the template and to which folders user has a read permissions on.
- Include subfolder: If selected, the search scope will also cover subfolders. If not, subfolders are not included in the search.
If the user opens the settings panel after performing a global search, that has produced results, the templates included in the global search are shown in the template selector.
To Apply current changes, click on the Apply-button. If you want to cancel all changes, click on the X-icon:


Managing ESS2 Comments
Using Comment handler, it is possible to see information about unread ESS2 comments in the list view.
